Terms of Service for ERAS Headshot
Effective date: August 30, 2026
1) About Our Service
ERAS Headshot (“we”, “our”, “us”) provides an online service that generates professional residency headshot options from photos you upload. The service exports portrait JPEG files at 375 × 525 pixels, 150 DPI, and no more than 150 KB. This is our consistent export format, not a claim that AAMC currently mandates those exact pixels or DPI. We are not affiliated with AAMC, ERAS, or NRMP.
2) Eligibility & Accounts
You must be at least 18 years old to use the service. You are responsible for your account credentials and all activity under your account.
3) User Content & Permissions
You may upload only photos that (a) you own or have permission to use, and (b) depict you. Do not upload unlawful, defamatory, pornographic, violent, or infringing content. You retain ownership of your uploads and of your generated ERAS headshot.
You grant us a limited license to process your uploads to create and deliver your ERAS headshot and to store files as described in Section 5. We do not use your photos or your ERAS headshot for model training or marketing without your explicit consent.
4) ERAS Formatting & Use
We export portrait JPEGs at 375 × 525 pixels, 150 DPI, and no more than 150 KB. AAMC's current public guidance requires JPG/JPEG or PNG, a maximum of 150 KB, and a centered face. Because third-party systems and program preferences can change, you are responsible for checking the final photo, current AAMC guidance, and individual program instructions. We do not guarantee acceptance by a third-party portal or program.
If a technical formatting issue prevents MyERAS upload, contact support and we will promptly re-export or adjust the file.
5) Data Handling & Deletion
- Order images: Uploaded photos, processing archives, and generated images may be retained to provide the service and continued access to your order.
- Access: New generated images are delivered using time-limited signed links.
- Deletion requests: You may request deletion of your uploads and your ERAS headshot at any time by contacting support@erasheadshot.com from your account email.
- No model training: We do not use your content to train AI models without your explicit consent.
6) Payments, Pricing, Taxes, Refunds
Payments are processed by third-party providers (e.g., Stripe). Prices may change at any time. Applicable taxes may be added. If you do not receive a usable headshot or a delivered file has a technical formatting problem, contact support within 14 days. We will first correct the export or regenerate the order. If we cannot resolve the issue, we will refund the purchase.
7) Availability & Modifications
We may modify, suspend, or discontinue the service (or any feature) at any time with or without notice. We are not liable for interruptions or delays.
8) Prohibited Uses
Do not misuse the service, reverse engineer systems, attempt unauthorized access, or use the service in violation of law or third-party rights.
9) Intellectual Property
Site code, design, text, and logos are our property or our licensors’ and protected by law. Your uploads and your ERAS headshot remain yours (Section 3). You receive a license to download and use your ERAS headshot for lawful, professional purposes.
10) Disclaimers & Limitation of Liability
The service is provided “as is” without warranties of any kind. To the maximum extent permitted by law, we disclaim all implied warranties and limit our aggregate liability to the greater of the amount you paid for the ERAS headshot or USD $100.
11) Termination
We may suspend or terminate access for any breach of these terms. You may stop using the service at any time.
12) Governing Law; Disputes
These terms are governed by the laws of the State of Delaware, USA (conflict-of-laws excluded). Courts located in Delaware shall have exclusive jurisdiction, unless applicable law provides otherwise.
13) Changes to These Terms
We may update these terms from time to time. Material changes will be posted on this page. Your continued use after changes constitutes acceptance.
